The VALIDATORS dictionary at the top defines every field the pipeline expects, what it should look like, and whether it is required. This is where we eliminated the transcription error problem. The patient cannot proceed until their insurance ID matches the expected alphanumeric pattern, their phone number has exactly ten digits, and their date of birth is in a parseable format.

The validate_submission function goes beyond individual field checks. It performs cross-field validation — checking, for example, whether a patient with a date of birth indicating they are under eighteen has guardian information attached. These are the kinds of checks that paper forms cannot enforce and that front desk staff, juggling five tasks at once, routinely miss.

The deidentify_for_log function is critical for HIPAA compliance. Every log entry, every debug output, every error message passes through this function before being written anywhere. It replaces PHI (Protected Health Information) with redacted placeholders while preserving enough metadata to debug issues. The date of birth keeps only the year — enough to calculate an age range for troubleshooting, but not enough to identify a specific individual. This is the HIPAA Safe Harbor de-identification method, and if you take nothing else from this case study, take this: never log PHI. Not in development. Not in testing. Not even in your "temporary debug output that you will definitely delete later." You will not delete it later.

The verify_insurance function is where the biggest time savings came from. In the production deployment, this function calls the payer's EDI 270/271 eligibility API to verify coverage in real time. The Python pipeline handles the heavy lifting, but it does not operate in isolation. We needed something to receive form submissions from the patient-facing tablet interface, route them through the pipeline, notify staff of results, and handle error cases gracefully. That is where n8n comes in.

The workflow follows a straightforward path: a webhook receives the form submission, a quick validation node checks for obviously missing fields before invoking the full pipeline (saving processing time on incomplete submissions), and then the pipeline result determines the next step. Successful intakes trigger a staff notification email. Failed validations return an error response to the tablet interface so the patient can correct the issue immediately, while they are still in the waiting room, instead of discovering the problem three weeks later when a claim bounces.
